Making Use of Accumulated Reports – Help Center | Teachme Communication

As reports accumulate, you can search, summarize, and analyze them.

Find People/Skills

Ask the AI a question, and it will find and show you past similar cases and people with expertise in that area. You can read the past reports it finds, or ask the person who wrote them directly.

The more reports that accumulate, the more accurate the results become. Getting report submissions established as a habit is the prerequisite for making the most of this feature.

Summaries

By reviewing submitted reports across the board, you can gain insights such as:

Excerpts of information indicating that irregularities occurred
Observations such as multiple Members struggling with the same issue
Keywords that appear to be key points for that week

Report Analysis

Aggregates numerical data. You can review the actual time spent, degree of goal achievement, and the proportion of time each team member dedicated to a given task. Data can also be exported as a CSV.

Running a Cycle of Improvement

To avoid stopping at analysis, we recommend deciding on the following three things in advance.

Decide where to accumulate things you want to change…Write down improvement ideas you notice as you work.
Decide on a schedule and Members for discussions…Without a regular opportunity to review, improvements tend to be put off.
Make it a place for open conversation…Rather than a meeting focused on reaching conclusions, make it a casual space to talk about operational improvements.

How to Use by Role

Frontline Staff…Enter reports. Use Find People/Skills when you run into difficulties.
Team Leaders / Line Managers…Design rules and create Templates. Stay informed of on-site conditions.
Section Managers / Department Heads / Site Managers…Review Summaries and Report Analysis to consider improvements and set direction.
