Designing Templates by Working Backwards from Your Goal

Template design works backward from how you will use the information you collect.

Start by defining your purpose

Decide first what the collected information will be used for — for example, "prevent accidents," "improve product quality," or "eliminate gaps in handovers." If the purpose remains vague, the number of fields will grow and the burden of data entry will only increase.

Working backward from your purpose

  • Make items that require aggregation into selection fields…For items that serve as keys for aggregation or search, avoid free-text input.
  • Declutter required fields…Remove anything that is merely "nice to have." Too many required fields leads to an increase in meaningless responses such as "nothing in particular."

Template units

Create separate Templates for each department or use case (such as daily reports, patrol reports, etc.). Rather than cramming everything into a single Template, dividing by purpose makes it easier for those entering data to know what to do.

Aim for 5 Templates to start

A smooth way to begin is to select about 5 of your existing paper or Excel reports and try converting them into Templates as-is. Set aside detailed considerations for later, and prioritize actually building and running them first.
