The key to preventing reports from becoming a mere formality is radically reducing the input burden on the people doing the work. Once you have created a Template, refine it from the following three perspectives.
1. Work Backwards from the Purpose
- Make items that require aggregation into selection-based fields. Avoid free-text entry for aggregation and search keys.
- Cut down on required fields. Remove anything that is merely "nice to have."
2. Clarify the Input Image
- Provide input examples…Add a note showing the expected level of detail, such as "Example: Unusual noise from the motor unit." You can use field description Text (help text) or External links for this.
- Use field names that leave no room for guessing…Instead of "Abnormality," use something like "Error code and indicator light color," so that the field name alone makes it clear what should be entered.
- Consider using photos…For things that are difficult to describe in words, such as the state of a display or equipment damage, supplement the report with attached images.
3. Minimize Input Burden
- Keep the number of options to a minimum…Filter choices down to a number that can be answered instantly without hesitation.
- Align the order of fields with the order of tasks…Arrange fields in the sequence of the actual work to eliminate the need to recall steps out of order.
Template Title
- Use a Title that makes the purpose immediately clear at a glance. Make it obvious who uses it, when, and for what.
- Templates are meant to be revised over time. Make sure it is always easy to identify which version is the latest.
The Value of Peer Review
Having someone other than the creator review a finished Template improves its quality. When doing so, please focus on sharing constructive feedback from a frontline perspective, rather than nitpicking or criticism.
Questions like "Could this be made into a selection field to speed up input?" or "Is this field truly necessary for the people doing the work?" are particularly useful.
